 SOP - Standard Operations Procedures v2021
SOP to security company to protect and safeguard our people to create harmony with peaceful environment.
1. Uniform Discipline
• Properly attired in approved uniform (ie. name tag, neat, tidy) at all times within the estate.
• Security officer: Polite, Courteous but Firm at all times.
• Updated photo organizational chart of security officers to show residents.
• Authorized security officers can only carry out within estate.
 
2. Code of Conduct
1st Penalty - Written Warning
2nd Penalty -  Final Warning
3rd Penalty -  Dismal
• Sleeping when on duty.
• Consuming alcohol.
• Absent without valid reason.
• Threatening or abusive language.
• Failing to name tag.
• Failing to make entry before & after meal breakdowns.
• Smoking whilst on duty.
• Reporting duty late or departing early without notice replacement.
• Gambling while on duty.
• Grouping together & chit chatting.
• Quarrelling or fighting.
• Having personal / visitors while on duty.
• Need to maintain their integrity and can de-escalate any tense situation. 
 
3. Security Staff Deployment
• Post manned 24 hours daily by:
2 security officers in the day shift 7am to 7pm (1 Nepalese + 1 Local)
2 security officers in the night shift 7pm to 7am (1 Nepalese + 1 Local)
• Perform daily patrol at the following times (every 2 hrs check):
Day shift
Night shift
• Perform clocking every 2 hrs.
• Monitor fully with CCTV system.
• Fire evacuation plan (SOP & Action).
• Attendance record books of all security is kept at the SGP at all times. They are not allowed
to sign the attendance of another staff.

• Maintain proper records of all security incident or accident in the occurrence book.
• Record accurately all relevant information of persons or vehicles of event & quickly inform
the management.
 
4. Security Officer
• Record in vehicle movement book all vehicles including movers entering or leaving the
estate. Forward the movement record book to the management for attention.
• Report perimeter fencing defects & faults to the management office.
• Supervise the daily screening of taxis, visitors & contractors entering & leaving the premises.
• Attend to all emergency situations such as fire or security alarm.
• Familiarize & recognize all owners to enable them to move freely of the estate with
minimum restrictions.
• Conduct perimeter fence patrol hrs in the estate.
• Ensure the security guardhouse is kept neat & clean at all times.
• Ensure the estate is secured & no trespassing or break-in is being attempted. Needing repair
should be drawn to the attention of the office management.
• Supervision & no parking in front of a fire hydrant.
• Ensure all contractors must obtain a permit from the UMLAND management before any
building workers are allow to be carried out at the estate.
• Personal & vehicle investigations upon entrance & exit to prevent removal of resident’s
assets.
• Residents will need to bring the access card. If residents do not bring the access card, no
petition and keep them to go thru the process of a visitor.
• Not allow to feed any pet cats or dogs due to unhygienic and diseases issue.
·     • Contact owner to verify the visitor’s name before allow to enter the premises. ·     
      • Notify supervisor whenever found contractor messy up construction’s debris surrounding public area during patrolling with capture photo as proof.
 
5. Door to Door Sales / Marketing Flyers
• No door-to-door sales personnel is allowed in the estate. The distribution of marketing flyers
to individual unit & letter box is also not allowed.
 
6. Unattended Item
• Give brief description on what was found.
• Assess the situation & determine.
• Take photo if necessary.
• To advice the management office of any unattended material left at any location.
• Call police giving them exact location & nature of item.
• Put up danger warning signs.
• Prevent anyone from entering the area.
• Record into occurence book details of incident & submit to the management office not later
than the next working day.
 
7. Outbreak of Fire
• All security officers must be trained to operate fire extinguishers.
• All security officers must be familiar with:
Location of the rises
Fire sub
• Security officer will proceed immediately to check & verify if it’s a false alarm.
• On confirming that fire is genuine, security officer will check the exact location & inform
management office.
• Security officer shall immediately try to put out the fire, if possible, by using fire extinguisher
without taking personal risk.
• Security officer to assist in the evacuations, traffic control & direct residents to a assembly &
safe area.
• Upon arrival of fire engine, security guard will escort the fire engine to the scene of the fire.
Inform the fire engine of the nearest fire hydrant.
• In the event of a fire, security guard shall immediately activate the fire alarm (ie. call).
 
8. Theft Break In
When notified of any broken or theft, security officer must immediately attend to the unit.
• Once the incident is confirmed & if the description of the suspect is available, the security
officer shall inform all securities guard to look out for suspect.
• Immediate report the matter to police & management office.
• Follow up with the incident report & submit to management office not later than the next
working day.
• Do not touch or tamper anything to avoid distorting & destroy any evidence (ie. finger print
etc).
 
9. Power Failure
• Secure all entrance & exit points.
• Record incident in the occurrence book including time incident is reported & time rectified.
 
10. Faulty Street Lamp
• Report faulty street lamp.
• Give exact location & the faulty.
• Record incident in the occurrence book accurately & report to management office.
• Take photo if necessary.
 
11. Covid-19 Protocol
• All guards must undergo urine, Covid and drug testing and you are required to provide us the testing report before reporting duty at site.
